Each account works in a desk: one studio's clients, projects, proposals, invoices, time and mail. The owner's desk is shared with any teammates they invite.

Onboarding

After sign-up, a short onboarding asks:

  1. Who feels like you? Pick a helper character (the face of the Agent).
  2. How do you work? Your craft, how many clients you juggle, and whether you work alone or with a team.
  3. What do you want to do first? Win work, run projects, or keep clients updated.
  4. Pick a first layout: the look new proposals start with.

Your answer to step 3 decides where you land. Choosing to win work creates a sample proposal ("Website Redesign" for "Northlight Atelier") and opens it; choosing projects creates a sample project with three tasks on the board. Delete them whenever you like.

Dashboard and Today

The sidebar runs in the order a job flows: Win work, Deliver, Get paid, Relationships, with Dashboard and Today at the top and Agent and Settings at the bottom. On a phone the main sections become a bottom tab bar.

Screen What it shows
Dashboard Money and activity tiles (outstanding, overdue, active projects, open proposals), a Needs you list, the rest of today's plan and your active projects
Today The focused version: what is waiting, who to chase, what changed while you were away, and the shape of your day

Both are built from your own records by fixed rules, not by the AI. A Get started checklist in the sidebar links to the first things to set up: a client, a project, a discovery, a planned week, the Agent, a portal and a proposal.

Note

Opening your desk also runs the automatic chasers: each overdue invoice and unopened proposal gets one reminder or follow-up, drafted in Client updates. They are emailed to the client without a click only if the studio owner turns on Email clients automatically under Settings → Workspace → Mailbox, which is off by default. See Automatic reminders.

Search and the New button

  • Cmd+K (Mac) or Ctrl+K opens the command palette: jump to any page, project or client, or start a new proposal, invoice, project or client.
  • The New button in the top bar creates a task (a planner item for a chosen day), project, client, proposal, invoice or lead from anywhere.

Settings

Page What you set
Settings → Profile Your display name. It is also the studio name clients see on proposal and portal links. Sign out of this browser.
Settings → Workspace Studio seats, studio brand (logo, legal name, currency, accent colour, bank details, PayPal handle), FX rates, mailbox and Email clients automatically, appearance and a data download
Settings → Agent Your personal xAI key. Memories and automations live on the Agent page; see The Agent.

The studio brand fills in every new invoice: the logo and accent colour, the legal name, the bank details and PayPal handle printed on the page, and the default currency (AUD until you change it). Logos must be images of up to about 900 KB.

FX rates convert foreign-currency invoices back to your home currency for an approximate figure. Enter rates by hand, or press refresh to fetch current rates from the free Frankfurter API (no key needed).

Team seats

The studio owner invites teammates under Settings → Workspace → Studio seats:

  1. Enter their email address (and optionally a name) and create the invite.
  2. A join link (/join/<token>) is copied for you. YourDesk does not email it; send it yourself.
  3. They open the link, sign up or sign in with exactly the invited address, and join. From then on they work on your desk.

What a teammate can and cannot do:

  • They can see and change everything on the desk: clients, projects, proposals, invoices, time and the mailbox connection.
  • Only the owner can invite or remove seats and start or change the plan.
  • Removing a seat sends that person back to their own, separate desk.

A pending invitation also works while sign-up is closed, for the invited address only.

Appearance

Light and dark themes switch from the top bar or Settings → Workspace → Appearance, with a "follow the system" option. The choice is remembered per browser. The site has a web app manifest, so it can be added to a phone's home screen, but it has no offline mode.

Download your data

Settings → Workspace → Studio data downloads a JSON file with the studio's profile, clients, projects, tasks, comments, proposals, invoices, planner, client updates, leads, time entries, mailbox accounts (without passwords) and up to 500 recent mail messages.

It does not include portal messages, requests, deliverables or uploaded files, and there is no import. Use database backups for disaster recovery; see Backups.
