The overview

Overview is the home screen after onboarding. It shows:

  • Saved so far, from the savings tracker.
  • Counters for cancels waiting, renewals this week and flags.
  • An Act now list: subscriptions tagged Cancel or Unsure, or still needing review, ordered by estimated saving, with views for what renews this week and what you have already kept.
  • Spend by category: tap a slice, then a tool, to open it.
  • Forecast: cash out per month for the last three months (actual) and the next three (projected from active subscriptions and their next charge dates).
  • The manual charge check banner when one is pending.

After a first scan, the Reveal screen shows the estimated monthly savings, the number of tools, monthly and yearly spend, and the number of flags, with a button into the list.

On the Free plan the savings figures and flag details are blurred, and the button offers an upgrade. See Plans.

Cancelling a subscription

Tag a subscription Cancel in the list or the detail panel. It moves to the Cancel section of Actions, and the detail panel shows the cancellation help:

  • Cancellation email: a pre-written request to cancel and confirm in writing, with Copy email and Open in mail client. It is addressed to the vendor's support email when the catalogue has one.
  • Cancel page: a direct link when the catalogue knows the vendor's cancel or billing page, otherwise a web search for "how to cancel" the vendor.
  • Mark as cancelled: sets the subscription to cancelled, records the date, and adds its monthly cost to the savings tracker.

Subsweep never cancels anything itself. The owner sends the email or uses the vendor's page.

Negotiation templates

Actions → Negotiation lists up to five subscriptions that cost more than 100 a month (monthly equivalent) and renew within the next 60 days. Each one opens a pre-written email asking for a better renewal price, with the same copy and mail-client buttons.

Savings tracker

Savings lists every saving event with its date, vendor, type and monthly amount:

Event Created by
Cancelled Mark as cancelled, a manual charge check answered "It was cancelled", or Cancel in offboarding
Seat removed Remove seat in offboarding

The headline Saved so far is the sum of the monthly amounts of all events, and the annualized run-rate is that sum times twelve.

Note

Saved so far is a monthly run-rate, not a running total: a tool cancelled six months ago counts its monthly cost once, not six times. "Price reduced" events exist in the data model, but nothing creates them in 0.1.0.

Offboarding

Offboarding helps when someone leaves. Enter a name or email and it lists the subscriptions whose owner field contains it, each with three actions:

Action What it does
Remove seat Records a "Seat removed" saving and clears the owner. It counts the subscription's whole monthly cost as the freed seat and lowers the subscription's amount by the same figure, usually to zero. Correct the amount in the detail panel if only one of several seats was freed. Repeating it for the same person and tool does nothing.
Reassign Asks for a new owner and saves it.
Cancel Marks the subscription cancelled and records the saving.

Owners are free-text names you set when adding or editing a subscription. Seat counts are not read from Google Workspace, Microsoft 365, Slack, Notion or Zoom in this version.

Reports and exports

Report Plan What you get
CSV export Pro Vendor, category, amount, cycle, monthly cost, next charge, source, status tag and flags for the whole list. Settings → Data → Export CSV.
PDF report Pro A printable page of the list. It opens your browser's print dialog; choose "Save as PDF".
Shareable report All An unlisted link, valid for 30 days, showing the workspace name, active subscriptions with their flags, monthly spend, estimated savings and saved so far. No transaction detail.

Create a share link under Settings → Data → Create report link; it is copied to your clipboard. Revoke turns off every link the workspace has made.

Note

The CSV export always contains the whole list; the list's filters do not apply to it. Attachments are covered under Known limitations.
